BikeAthens Administrator

Job Description

Job Summary: Individual will be responsible for general administration and recordkeeping for BikeAthens, a small 501(c)3 non-profit, from their home or office. Good organizational and communication skills necessary. Must have access to a personal computer and be able to maintain an online membership and donor database. Experience with Joomla software strongly preferred. Must be comfortable corresponding regularly with various board members and volunteers via email. Occasional pickup and delivery of items, such as coffee, bike maps, or tabling supplies, may be needed .

Time requirements: 6-8 hours per week to start. Potential for additional hours and expanded scope of tasks if initial projects go well.

Compensation: $10-12 hourly to start, with potential for increase after 6 months. No withholding; pay own taxes. BikeAthens will provide IRS form 1099 at year end.

Job responsibilities:

Administrative:

- Manage BikeAthens' legal registration with the Secretary of State and federal gov't
- Coordinate BikeAthens' membership in regional and national advocacy organizations
- Assist project chairs and/or event coordinators with recordkeeping/publicity tasks
- Help project chairs with mailings or event preparation as needed
- Prepare and present Administrative Report for monthly BikeAthens Board meetings
- Field all official BikeAthens communications (electronic and mail)

Membership:

- Maintain an online membership & donor database, including these tasks:
- Enter/record all membership/donor info, dates, dollar amounts, etc.
- Forward checks to treasurer
- Prepare and send membership confirmation & renewal notices, both electronically and by mail
- Respond to membership/sponsorship-related questions
- Manage membership discount program

Bike Map:

- Mail or deliver copies to advertisers and sponsors (when new edition is released)
- Maintain list of sponsors and distribution points that stock bike maps
- Check these locations on a monthly basis to see that they are stocked

Alternative Fuel coffee:

- Maintain list of sponsors and distribution points that stock Alternative Fuel coffee
- Pick up orders from Jittery Joe's Roaster and deliver to distributors and Bike Recycling shop
- Update Alternative Fuel inventory database

Georgia Shares:

- Attend quarterly meetings of statewide charitable contribution program
- Track BikeAthens' GA Shares timesheet
- Assist with local GA Shares initiatives, as time allows
